How to Format a Photo or Document for a Government Portal
Visa and government portals often reject an upload over a tiny detail: a file a few KB too big, the wrong dimensions, or the wrong format. This guide shows how to match their exact rules. It saves time for immigration consultants, travel agents and lawyers who use court e-filing systems, as well as anyone filing their own application.
Find the portal's exact rules
Check the portal's upload page for its limits: the file size band (for example 10–50 KB), the required pixel dimensions, the DPI, and the allowed format (often JPEG or PDF only). Note all four.
Open the formatter
Go to the Portal Photo & Document Formatter. It runs in your browser, so your ID photo or document isn't uploaded anywhere except the official portal you choose. Load your file.
Pick a preset or enter the limits
Choose a preset — Schengen, US, India or e-Courts — or type the exact size, dimensions, DPI and format the portal asked for.
Let it resize and re-encode
The tool adjusts the file to hit the target size band without breaking the required dimensions or making the image too blurry, and saves it in the correct format.
Upload the result
Export the file and upload it to the portal. It should now be accepted on the first try.
If the portal still refuses it, re-read its rules for a detail you missed — a format or a size limit is almost always the cause.
